Notes of the Annual Parish Council Meeting held in the Parish Council Office Meeting Room, London Road, Long Sutton on 28 May 2026 commencing at 7.00 p.m.

5. To appoint representatives to serve on the following bodies:
(a) Allen’s Charity
(b) Blanks Charity
(c) Phillips Education Foundation
(d) Alms-houses Charity
(e) Long Sutton & District Civic Society
(f) Trustee of Long Sutton Pre School
(g) Voluntary Car Scheme
(h) St Edmunds Charity
6. To fix the amount of the Chairman’s allowance
7. To confirm the appointment of the Internal Auditor
8. To resolve to review the Council Standing Orders
1. Election of Chairman
Councillor M Ladbrook proposed Cllr J Clarey, seconded Cllr C Broughton
Action: There being no other nominations Cllr J Clarey was elected as Chairman.
2. Apologies for Absence
Apologies were received from Cllrs G Garrett and A Facey.
3. Election of Vice-Chairman
Councillor Cllr M Ladbrook proposed D Cawthorn, seconded Cllr J Clarey
Action: There being no other nominations Cllr D Cawthorn was elected as Vice-Chairman
4. To appoint members to serve on the following Committees:
(a) Allotments – Cllrs J Clarey, A Facey, Cllr D Cawthorn
(b) Finance – Cllrs J Clarey, M Ladbrook, C Broughton
(c) Parks and Cemetery – Cllrs J Clarey, D Cawthorn, A Facey
(d) Planning – All Councillors with email facility.
(e) General Purposes Committee – Cllrs J Clarey, M Ladbrook, C Broughton, T Watts
(f) Personnel Committee – Cllrs J Clarey, M Ladbrook, C Broughton
(g) GPDR Committee – Cllrs J Clarey, M Ladbrook, C Broughton

5. To appoint representatives to serve on the following bodies:

6. To fix the amount of the Chairman’s allowance
Action: The council resolved to increase the Chairman’s Allowance by 2%
7. To confirm the appointment of the Internal Auditor
Action: The Clerk advised that TC Group, Bulley Davey has advised that the company no longer carry out parish council audits and she was sourcing a replacement for the Internal Auditor for 2025-2026
8. To resolve to review the Council Standing Orders and Insurance
Action: The Clerk advised that the Standing Orders had been reviewed, amended and distributed , the financial regulations had been updated and the Gov.uk emails were in place. The insurances had been reviewed when the new policy renewal was received.
